AI meeting notes: turn a transcript into decisions and action items

By the ChatGBot Team · Published November 2, 2026

The fastest way to get AI meeting notes without new software is to paste your transcript into an AI chat, or upload it as a PDF, and ask for a summary, decisions and action items. One honest catch: a chat does not join your call or record it, so you need the transcript first.

The transcript-to-notes workflow

  1. Get a transcript. Many video call platforms can produce one if the feature is turned on. You can also transcribe a recording with a separate tool, or use your own rough notes.
  2. Clean up the sensitive parts. Remove anything that should not leave the room, such as salaries or client secrets.
  3. Paste it or upload a PDF, then add who attended and why you met.
  4. Ask for the format you want, using a prompt below.
  5. Read it against the transcript, fix it, and send it out.

A note on consent: tell people before you record or transcribe a meeting, and get their agreement. Recording rules differ by location, and some require everyone's consent. It is also simply good manners.

Three prompts for three kinds of meeting

Prompt: Here is a transcript of our [team / client / project] meeting. Attendees: [names and roles]. Give me a five-line summary, a list of decisions, and a table of action items with owner and due date. If an owner or date was not stated, write 'not stated' instead of guessing. Transcript: [paste]

Prompt: From this client call transcript, pull out what the client asked for, any objections, what we promised, and open questions. Then draft a short follow-up email in a [friendly, professional] tone. Transcript: [paste]

Prompt: Compare today's notes with last week's. List what got done, what slipped, and what keeps coming up without an owner. Last week: [paste]. Today: [paste]

If follow-ups are the slowest part of your week, our guide to the AI email writer has more ways to speed them up.

What good notes look like

From a made-up 30-minute website launch call:

Summary: The launch moves from March 4 to March 11 because the checkout tests are not finished. Marketing will hold the announcement until then.

Decisions: New launch date is March 11. The pricing page stays as it is for now.

Action itemOwnerDue
Finish checkout testsPriyaMarch 6
Move the announcement emailTomMarch 5

That last row is the most useful line in the notes, because it shows a job nobody took.

Where AI notes go wrong

  • Bad transcript, bad notes. Crosstalk, names and technical terms often come through garbled. Add a short glossary to your prompt.
  • Ideas can become decisions. Someone saying "maybe we should" may turn into "the team agreed." Check every decision.
  • Invented details. AI may fill in owners or dates. Asking it to write "not stated" helps a lot.
  • Missing context. Tone, side conversations and what happened on a shared screen do not appear in the text.
  • Very long files. For long sessions, ask for notes section by section so nothing drops out.

Dedicated note takers vs a general chat

Be fair to the dedicated tools: if you meet all day, an AI note taker is often the better fit. These tools can join calls, record, transcribe and file the notes for you with little effort. The trade-off is one more app, a bot in your meetings that some people may not want, and another place your recordings are stored.

A general chat suits people who already have a transcript, meet occasionally, or want full control of what gets shared. It takes more manual work, but you decide exactly how the output looks, and you can keep asking follow-up questions.

Doing it in ChatGBot

ChatGBot is a general chat, so it works from your transcript rather than joining the call. You paste a transcript or upload it as a PDF and prompt for what you need. It is a paid app with GPT, Claude, DeepSeek, Qwen and GLM under one subscription, so you can run the same prompt on two models in one chat. One may catch an action item the other missed. Keep the better answer, merge anything extra, and check it against the transcript before sending. The same habit works for reports and other long text, as our AI summarizer guide shows.

Frequently asked questions

How do I make meeting notes in ChatGBot?

Paste your transcript or upload it as a PDF, then ask for a summary, decisions and action items in the chat.

Do I need consent to record or transcribe a meeting?

You should always tell people and get their agreement. The legal rules vary by location, and some places require consent from everyone on the call.

Are AI meeting notes accurate?

They are usually a good first draft, but they can misattribute comments or present suggestions as decisions. Check them against the transcript before sharing.

How do I get action items from a transcript?

Ask for a table with task, owner and due date, and tell the AI to write 'not stated' when something is missing. That stops it from guessing as often.

Should I use a chat or a dedicated AI note taker?

If you have many calls and want automatic recording, a dedicated note taker is usually easier. If you meet less often or already have transcripts, a chat is often enough.

Ready to try it yourself?

Take the transcript from your last meeting and try the first prompt. You will have decisions and action items ready to check before you send them.
